POSITION SUMMARY


The Program Assistant is responsible for assisting the Program Director coordinate the day to day activities of the Youth Services Department. This position is responsible for the timely data entry and subsequent filing of source documents, interacting with clients and their parents, assist with coordinating and planning activities, and liaisons with other departments.


ESSENTIAL DUTIES, FUNCTIONS & RESPONSIBILITIES


  • Coordinate Transportation Schedule and client calls
  • Support monthly group calendar and newsletter development
  • Recruit clients for various training classes and events
  • Sort mail; gather articles for newsletter, etc
  • Mail out client notices
  • Input monthly report data into RPMS
  • Compile monthly reports from groups
  • Help with food purchasing and serving
  • Serve as the primary receptionist for American Indian Clients and other business guests walking into the office
  • Answer telephones, taking messages, direct callers and visitors to appropriate personnel
  • Instruct clients on how to fill out the intake/registration form
  • Pre-screen potential clients for eligibility
  • Obtain documentation needed for intake and make copies of such documents for client’s file
  • Provide services to clients in a manner, which reports their basic human rights
  • Work with youth and fairly administer disciplinary standards
  • Participate in required staff meetings and taking minutes
  • Keep inventory of all office forms
  • Keep Youth Director well informed regarding activities, pending issues and potential problems


MINIMUM QUALIFICATIONS


Qualifications:


  • Able to work flexible hours to include evenings and Saturdays


Education &
Experience:


  • High School Diploma or GED
  • At least 1 year administrative support experience and customer service experience


Certifications:


  • CA Driver’s License


Confidentiality:


  • Maintain strict confidentiality of client and personnel information adhering to HIPAA, professional codes of conduct, State of CA regulations, Privacy Act, and UAII policies and procedures
  • This position has access to sensitive information, and a breach in confidentiality will be grounds for disciplinary action up to and including immediate termination


Communication/ Interpersonal Skills:


  • Possess the ability to communicate with others in a courteous and professional manner
  • Excellent oral and written communication skills
  • Excellent customer service skills
  • Proficient in English


Technology Skills:


  • Microsoft Office, RPMS, MS Windows and/or Mac
  • Familiarity with video and photo editing software
  • Canva


Other:


  • Able to complete administrative work when not driving
  • Available and willing to travel as needed
  • Available to work evening and weekend hours as needed
  • Willingness to learn new skills and participate in training sessions relevant to the position


POSITION PREFERENCES


  • Experience working with the American Indian/Alaskan Native community
  • Experience working with nonprofit organizations, community groups and performance-based government contracts.
  • Knowledge of Indian Self-Determination and Education Assistance Act (Public Law 93-638)

Physical demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the primary functions of this job. While performing the duties of this job, the employee is required to frequently stand, walk, sit, bend, twist, talk and hear. There are prolonged

periods of sitting, keyboarding, reading, as well as driving or riding in transport vehicles. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include reading, distance, computer, and color vision. Talking and hearing are essential to communicate with patients, vendors and staff.
