Job Description:
SLUHN is seeking a Unit Secretary at the St. Luke's Warren Campus located in Phillipsburg, NJ.
The Unit Secretary is responsible for clerical and receptionist duties, communication, and computer support within the unit/department she/he is assigned. Handles unit related situations that may extend beyond the general secretarial/clericals duties on the nursing unit. Responsible for creation and completeness of patient charts and order and neatness of the nurses’ station. Responsible to keep the Charge Nurse informed of all pertinent physician and unit activity.
The primary responsibilities of the Unit Secretary include:
Facilitates communications between members of the health care team, other departments, patient, family, and visitors.
Welcomes and/or assists all individuals when they arrive in the unit/department in a professional, friendly and efficient manner.
Answers phones promptly and in accordance with Service Excellence expectations. Responds to inquiries and transfers calls accordingly.
Assembles, maintains, and coordinates all activities and processes related to the patient’s medical record (chart) according to policy.
Completes assigned clerical duties related to the admission, transfer and discharge processes.
Maintains communication with Admissions Clerk (e.g. obtaining admissions information)
Transcribes and accurately enters physician orders in a timely manner.
Records or transcribes information from flow sheets to patient’s computerized record or chart as necessary (TPR, allergies, etc.)
Keeps appropriate team member informed of reports, new orders, stat orders, admissions, discharges and other information.
Schedules and/or coordinates to ensure timeliness for diagnostic testing, prioritizing based upon patient acuity and need. Computes test list, adds times according to Radiology schedule.
Files test results keeping charts orderly, organized and stocked as needed.
Disassembles and reverses completed discharge chart for Medical Records pick up.
Demonstrates ability to support computer technology by acting as an expert resource for physicians and staff.
Operates, maintains, and troubleshoots all office equipment including computer, fax machine, and printers.
Provide input to Unit Services Coordinator in order to maintain a current, accurate and cost effective inventory of unit/department of office supplies and forms.
Maintains unit/department logs and statistics. Performs chart audits or data collection as directed.
Other related duties as assigned.
Participates in activities which promote personal/professional development.
Serves on assigned committees.
Complies with established chain of command for work related problems.
Job Qualifications:
Physical and Sensory Requirements
:
Sit up to 8 hours per day; 2 hours at a time. Stand for up to 1 hour per day. Walk 1 hour per day; 10 minutes at a time. Continuously uses fingers and hands to manipulate objects. Continuously twists/turns fingers and hands simultaneously. Continuously lifts, carries, pushes and pulls objects up to 10 lbs. Occasionally lifts, carries and pushes objects up to 25 lbs. Frequently pulls objects up to 25 lbs. Occasionally lifts, carries, pushes and pulls objects up to 50 lbs. Occasionally squats, crouches, kneels and climbs. Must have the ability for touching as it relates to perceiving attributes of an object. Must have the ability for hearing as it relates to normal conversation, high and low frequencies. Must have the ability to see as it relates to general, near, far, color, and peripheral vision. Continuously stoop, bend and reach above shoulder level. Must have hand/eye coordination for computer operation.
Minimum Qualifications:
Education
: High School Graduate or equivalent required.
Training and Experience
:
Basic computer skills and proper telephone etiquette skills required. Previous unit clerk or applicable hospital experience preferred. Knowledge of Medical Terminology preferred. Successful completion of computer class and on-the-job training after hire.
Possesses qualities such as a positive attitude and good communication and organizational skills.
Attendance at additional classes to support other functions of the role may be required.
