Temporary Meeting Planning Coordinator

Location: Bridgewater New Jersey

Description: LifeCell Corporation is at the momment seeking for Temporary Meeting Planning Coordinator right now, this vacancy will be placed in New Jersey. The Program Planning Coordinator will work with the Program Planning Managers to assist in the planning, organizing and implementation of a port! folio of national medical education programs for surgeons and other healthcare professionals sponsored by LifeCell Corporation and will independently plan, organize and implement some small local and national programs.

PRINCIPAL RESPONSIBILITIES:
1. Responsible for assisting the program management team in assigned tasks associated with planning, organizing and implementing a variety of medical education programs varying is size from small advisory meeting of 10 to large symposia with >200 surgeon attendees.

2. Coordinate and assist with logistics for a variety of programs including but not limited to registration process, attendee management, hotel rooming lists, developing meeting materials, expense management, standard reporting, and other supporting tasks as assigned by the Program Manager.

3. Utilize meeting planning software to create event sites for independent programs, manage attendees, run and distribute requested reports (r! egistrant data, survey responses, attendee travel data), manag! e budgets for independent projects, and other supporting tasks as assigned by the Program Manager.

4. Consult with internal marketing and medical education team clients to identify program needs, establish direction, facilitate problem solving and provide value added client counseling and creative solutions pertaining to program logistics related to independently planned and implemented small programs.

5. Collaborate with Sr. Program Manager to research venues, prepare Requests for Proposals and conduct site inspections, negotiate contracts, and prepare bid comparisons for independently planned and implemented small programs.

6. Act as primary liaison with venue contacts and vendors to determine and arrange multiple concurrent program specifications including but not limited to attendee travel and lodging, function space needs and set up, meal selections, audio-visual needs, on-site and offsite events, ground transportation for independently plann! ed and implemented small programs.

7. Develop, proofread and approve attendee communications: registration confirmations, event reminder, final logistics, welcome letters, and reimbursement form for independently planned and implemented small programs.

8. Contribute to ongoing assessment and enhancement of Standard Operating Procedures and actively participate in the training and development of team members (Program Coordinators, Administrative Support, and New Hires).

Qualifications

MINIMUM EDUCATION: Associate's degree or equivalent preferred.

MINIMUM SKILLS, EXPERIENCE AND REQUIREMENTS: 1+ years of experience in a coordinator role in a related business setting; Proficient with MS Office programs; Organizational and project management skills; Excellent interpersonal skills; Strong attention to detail; Customer service orientation; Ability to prioritize and multi-task in a fast paced environment; Strong oral! and written communication skills.

PREFERRED EDUCATION:! Associate's degree in hospitality management, business or related field.

PREFERRED SKILLS, EXPERIENCE AND REQUIREMENTS: 1+ years of experience in a coordinator role in medical education/healthcare related meeting planning; Experience with event management software; Ability to meet deadlines and work under pressure without compromising work quality or team relationships; Experience working with cross-functional teams; Self-motivated but also follows instructions; Team player who consistently looks for ways to support the team to advance business objectives.
